Archive and Protocol

The General Archive of the University is responsible for the reception, classification, and proper management of all documentary material of the University of Padua, in compliance with regulations, ethical standards, quality standards, and best practices recognized at national and international levels.

The General Archive of the University is also responsible for managing the protocol, which encompasses the procedures by which documents are handled from a legal and managerial perspective. The fundamental elements of the protocol are contained in the protocol register: it is a public record that certifies the date of receipt and dispatch of a document, and it is capable of producing legal effects in favor of or against the parties.

The need to have a valid and homogeneous archival system has always been considered of primary importance within the University, leading to the initiation of a series of projects aimed at standardizing and simplifying the methods of archiving and consulting administrative documents. An example of this is the Archives Project, which includes the Titulus 97, Thesis 1999, and Studium 2000 projects. Additionally, for the survey and proper classification of the University's documentary heritage, an Archives Commission composed of faculty members and archivists was appointed in 1994.

The regulations on the archive, protocol, and administrative documentation of the University are contained in specific Regulations.

Unified Classification System 2013

Following the reform of the university sector (Law 240/2010 and new statutes), it became necessary to revise the classification plan of Italian universities, Titulus 97, which was originally developed by an inter-institutional working group, in order to adapt it to the changes that have occurred.
The new classification system, in effect since January 1, 2013, not only incorporates updates resulting from the new institutional and organizational structure but also unifies the two previous models into one. Therefore, it can be used by both central and peripheral structures, with clear advantages for the interoperability purposes of the document systems of Public Administrations, representing a tool for the organization of university archives from their inception.
