Submitting and changing the Learning Agreement

The Learning Agreement is a fundamental document for students participating in Erasmus+ and SEMP mobility programs. It represents an agreement between the student, the home university, and the host university, defining the courses and activities the student will undertake during the mobility period. Additionally, the Learning Agreement ensures that the credits earned abroad are recognized by the home university.

The Erasmus+ program 2021-2027 promotes the progressive digitalization of various mobility processes, including the digital exchange of Learning Agreement data with partner universities (Digital Learning Agreement - DLA) through the Erasmus Without Paper (EWP) network, as part of the .

Starting from the 2025/26 academic year, the Digital Learning Agreement will be implemented within the Erasmus+ program (including Arqus) with European partners that are active in the EWP network for the exchange of DLAs. Excluded from this process are European partners not yet integrated into EWP, as well as partners in Turkey and the United Kingdom, with whom the Learning Agreement will continue to be exchanged in PDF format (via email or through the university’s application system, according to the partner university’s requirements).

  Completing the Learning Agreement on Uniweb

Students are required to complete the Learning Agreement / Digital Learning Agreement Before the Mobility in Uniweb by the following deadlines:

  • June 15 → for departures in the first semester
  • October 15 → for departures in the second semester

Important: Students should carefully check the deadlines set by the host university, as it may require the LA / DLA to be approved by the academic coordinator at the University of Padova before these dates.

Before filling out the LA / DLA in Uniweb, it is strongly recommended to verify directly with the host university whether it is necessary to include a specific Responsible Person at the Receiving Institution, in order to avoid the DLA being rejected or not being processed.

For detailed information on how to fill in the Learning Agreement, students should refer to the guide (available for download below) and follow the instructions provided by their School or Department Mobility Desk.

The number of credits expected to be earned abroad must be proportional to the duration of the stay (typically 30 credits per semester and 60 credits for a full academic year). Reasonable flexibility is allowed, considering that the host institution may also impose a minimum and/or maximum number of credits.

Students carrying out their thesis work abroad and PhD students must attach a letter from their academic supervisor/tutor at the University of Padova to the Learning Agreement in Uniweb.

  Approval of the Learning Agreement / Digital Learning Agreement by the University of Padova (Sending Institution) and by the Host University (Receiving Institution)

The Learning Agreement / Digital Learning Agreement submitted in Uniweb must first be approved by the academic coordinator at the University of Padova (Sending Institution) in Uniweb and subsequently by the host university (Receiving Institution).

The submission of the Learning Agreement / Digital Learning Agreement to the partner university can occur in two ways:

  • If the partner university is active in EWP, the DLA data will be sent digitally to the host institution after the internal approval of the document by the academic coordinator at the University of Padova.

Once sent via EWP, the DLA can no longer be modified until it is either approved or rejected by the partner university. In such cases, students must contact the host university and request that they approve or reject the DLA.

If the DLA is "commented" (i.e., rejected), the student must submit a new DLA in Uniweb following the partner's instructions.

Once the DLA is approved, students can download the European Standard version with all required signatures.

Please note that in the European Standard version of the DLA “Changes During the Mobility”, modifications will not be visible until they have also been approved by the host university. However, the changes will already be reflected in the DLA Summary.

  • If the partner university is not integrated into EWP, students must send the PDF of the European Standard version (not the Summary) downloaded from Uniweb via email or through the university’s application system, following the host institution’s specific requirements.

The student will receive the European Standard version, countersigned by the partner university, either as an original paper document or as a PDF via email.

If any changes to the selected courses occur during the mobility period, the Learning Agreement / Digital Learning Agreement must be updated in Uniweb and re-approved by all parties involved (Exceptional Changes to the Learning Agreement – During the Mobility).

The fully approved LA / DLA must be uploaded to Mobility Online:

  • The “Before the Mobility” version must be uploaded in the “During the Mobility” section to confirm the start of the mobility along with other required documents.
  • The “Exceptional Changes to the Learning Agreement”, if applicable, must be uploaded in the “End of the Mobility” section at the end of the mobility period.

The following templates should only be used in case of technical issues with the EWP network or if the partner university does not accept the SSO-acquired signature present in the European Standard version downloadable from Uniweb
